Do my clients need to download an app?
No. Your booking page works in any browser on phone, tablet or computer. Share the link on your website, WhatsApp, social media or Google profile and clients book in a few taps.
Can I take payments when clients book?
Yes. Connect your own Payfast account and choose whether paying online is optional or required. Money goes straight into your Payfast account.
What happens when a team member is sick or on holiday?
Add leave in a few clicks. They disappear from online booking for those dates, nobody can book or move an appointment onto their leave, and BookMyCalendar lists every appointment that clashes so you can reschedule or cancel. Cancelling because of leave never carries a fee, and a paid booking is listed for a full refund.
Can I charge a fee when clients cancel late?
Yes. Set your own cancellation window and what share of the payment is kept. Clients who pay online must tick that they agree to your policy before they book. When you cancel a paid booking inside the window, the fee is applied for you, and you can waive it with one tick.
What happens when a client doesn’t show up?
You mark it as a no-show and choose what happens next: reschedule it to a free time, or cancel it. Either way the no-show is counted in your reports and on the client’s record, so repeat no-shows are easy to spot.
How do refunds work?
Cancelled bookings that were paid for appear on a Refunds page with a red count of what is still due. You pay the client back from your Payfast dashboard, then record it. Partial refunds, a kept fee, and “reschedule instead” are all one click, and refunds come off your sales reports.
Can clients cancel or change their own bookings?
Clients can move their booking to another time from a private link in their confirmation and reminder emails, up to the cancellation window you set. To cancel, they contact you, so you stay in control of refunds and fees.
Can my team log in, and can I control what they see?
Yes, on the Professional and Business plans. Each team member gets their own login and sees their own calendar. You choose what else they can do, from a ready-made role down to individual permissions, and the activity log shows who changed what.
Can clients book the same slot twice?
No. Online bookings only show genuinely free times. Working hours, opening hours, other appointments, blocked time and leave are all taken into account.
Does it work for a one-person business?
Absolutely. BookMyCalendar works just as well for a solo practitioner as for a busy practice or studio with a full team.
